Assigning clients to providers is important if you are using provider portals (allowing your rendering providers to log into Therabill). From the provider portal, the rendering provider is only able to access their client information (i.e. their client list). Therefore, it is important that Therabill knows which clients are associated with the provider in order to properly display their client list to them.
Therabill tries to associate clients with providers automatically. There is also a manual method for managing a providers client list. Each method is explained below.
NOTE: A client can be associated with more than one provider.
NOTE: When we refer to the "main account" we are referring to the administrative account. This is the account that you login to using the username and password that you created when you signed up for Therabill. This is also the account that office staff (user accounts) logs into. The provider portal is where the rendering provider logs into using the username and password that you created for them on the add / edit session form by clicking the "Log In" option.
Associating a client with a provider by adding a session
From the main Therabill account (not from the provider portal), a client can be associated with a provider simply by creating a session for the client / provider. That is, on the add session form, there is a place to enter who the client was and who the rendering provider was. As soon as you enter that session, the client that you entered will automatically be associated with the rendering provider that you entered.
Associating a client with a provider from the provider portal
If you gave the provider permission to add / edit clients from within their provider portal, then whenever the provider creates a new client while logged into their provider portal, that client will automatically be associated with that provider.
Manually assigning clients to providers
You can manually assign a client to a provider through the Manage Client List feature. To manage a providers client list, do the following:
- Click Providers in the top navigation bar
- Find the provider in your provider list and click the Provider Tools icon associated with that provider.
- In the menu that appears, choose Manage Client List.
