Therabill has the ability to perform eligibility checks in real time with a small number of payers using the service through Availity. For a list of payers that are currently available for real time elgibility and benefits checks, please see: Therabill Eligibility and Benefits Insurance List.
How to run an eligibility check
To run an eligibility check for a patient, click Clients in the top green navigation bar of Therabill. You will now be at your client list. Find the patient in the list that you would like to run an eligibility check on. Once you locate the patient, click the tools icon associated with that client. You will now see a menu (see image to the left). In that menu, click on Eligibility & Benefits option (image to the left, red arrow).
The eligibility check form will open up (see image below). If the client currently has an insurance card on file that is part of the list of available insurance companies for eligibility and benefits, then you will see an option at the top right of the form to run the check. To run the check, simply click the Run Check button (image below, red arrow).
When you click the Run Check button, Therabill will send the request through Availity. Availity then contacts the payer with the request. Once the payer replies, Availity then forwards the response back to you in Therabill and it will be displayed for you within the screen.
Therabill does not offer support with interpreting the results of the eligibility check. Therabill is only posting the response that it receives from Availity. If you receive an error message back from Availity (which can often be cryptic), you can often look for clues within the error to determine what went wrong. The most common error that Therabill encounters is a missing birthdate. This will result in an error message with keywords such as DMG or YYYYMMDD. If you get this message, make sure you have both the patient birthdate and the insured birthdate entered correctly in Therabill.
