By default, Therabill uses the short description given by the American Medical Association (AMA) as the description for the service codes (a.k.a. procedure codes, or CPT codes). This short description is shown in the drop down menu when you are entering the service code for a session. This description is also shown on the client ledger statements. If you do not want to use the description given by the AMA, then you can change the description of the service code by following the instructions below.
Viewing your service code database
- Click Admin in the top navigation bar of Therabill.
- Click Defaults/Settings in the sub-navigation bar of Therabill.
- You will now be at the billing defaults page.
Editing the service code description
To edit the description given for a specific service code, find the service code in your database and click the edit icon associated with that service code. When you click the edit icon, the service code description will turn into an editable text box. Edit the text within the text box to the description that you want shown for that service code. When you are finished, click the Save button located to the immediate right of the editing text box.
Adding a service code to your database
Adding a service code to your database is not done through this defaults page. Adding a service code to your database is done automatically for you when you add a new session to your scheduling using a service code that you have not previously used.
A code that I have on a session is not showing up in my code list
Service codes are added to your code list when you add a new session (service code). They are not added to your list when you edit a session to a different service code.
If you are trying to get a service code in your code list, then use the add session form to create a new session using the service code. Once you add the session, if your sole intention is to just add the service code to your code list, then you can delete the session (the code will remain in your code list).
