What the Void Claim is NOT.
We will start by explaining what the void claim option is not. The void claim option is not deleting the claim from your Therabill filing cabinet. The filing cabinet is a history of your claim submissions. Every claim you have ever created is stored in your CMS-1500 filing cabinet. There is not a method for deleting a claim from your filing cabinet. If you are wanting to resubmit a claim, please see: How to Resubmit a Claim in Therabill.
What is Voiding a Claim
Voiding a claim is actually sending a claim to the payer. The claim references an electronic claim that you have previously sent them. The voided claim submission uses a frequency code on the new claim submission to indicate that you are wanting the payer to void the original claim from their system. Bottom line is that a new claim is actually sent out. It is the frequency code on this new claim that indicates it is not a "new claim" for them to adjudicate, but rather an indication for them to void an earlier submission.
Can I send a Voided Claim
You will want to call the payer to determine how they want you to void a claim. Some will allow you to do this over the phone. Make sure that they accept voided claims electronically. If they do say that you should send an electronic voided claim submission, you will then want to ask them for the control number. The control number is a code that they will give you. You will put that on the voided claim submission. This control number is what the payer will use to match your voided claim submission with the original claim that you are wanting to void.
How to Void a Claim
Filing a voided claim in Therabill is done through the filing cabinet. Click Filing in the top green navigation bar of Therabill. You should now be at your CMS-1500 filing cabinet. Find the claim that you want to file a voided claim on. Use the variety of search filters at the top to help you find the claim. Once you have located the claim, click the tools icon associated with that claim. In the menu that opens, click the Corrected Claim or Void Claim option. You will now see a form similar to the image shown at the right.
A voided claim can only be submitted electronically.
- Put a check next to the option under Method: Electronic labeled "Submit corrected claim electronically".
- From the Frequency Code drop down menu, choose Void this Claim (frequency code 8).
- Enter the control number given to you by the payer in the Control Number text box.
- Click the Create button at the bottom of the form.
Back in the filing cabinet
You will actually see a new submission in your filing cabinet for this voided claim. This is because a claim submission actually has been made. The frequency code on the claim submission has gone out with an indicator that it is not a new claim, but rather a void of a past claim (you are telling them to void a past submission).
Keep up with it. You may want to call the payer within a couple of days to verify that they received the voided claim submission.
