Before you can process credit cards in Therabill, you must first get set up with a merchant account and payment gateway. For information on getting started, please see: Credit Card Processing Set Up.
This article assumes your account is already set up with credit card processing.
Processing a credit card transaction through the payment gateway
You can open the payment gateway from your toolbox. The toolbox is the column of buttons that run down the left-hand side of the page. To open the gateway, click on the icon in the toolbox.
Note: If you are integrated with WebPT and collecting a payment that has already been entered in WebPT, such as a co-pay, then the Client field will typically be blank. Entering the client name into this field can result in a duplicate posting of the payment to the client's account.
|Client||The name of the client the payment is for.|
|Name||The cardholder's name|
|House # (Club Automation only)||The numeric part of the street address.|
|Address||Enter the address, city, state, and ZIP code for the card being used.|
|Phone||This is optional|
|Amount||The amount you want to charge|
|Acct Number||The credit card number|
|Expiration||The card's expiration date|
|CVV||The security code on the card.|
Saving the Credit Card Information (Novera/Worldpay)
If you enter a client name at the top of the credit card payment gateway, then you have the option to save the credit card information. This is done by putting a check in the Save credit card checkbox that will appear next to the Process Card button.

IMPORTANT: The CVV code will not be saved. PCI DSS prohibits storing the CVV code in any form. For more information, please see: PCI Data Storage Guidelines
Processing the Transaction
Once you have filled out the Credit Card payment entry form with the required information, click the Process Card button. A form will appear letting you know that the transaction is being processed.
IMPORTANT: While the transaction is being processed, do NOT close your web browser. After a second or two, the results will come back as either approved or denied.
Denied Credit Card Transactions
If the card was declined, a dialog box will appear giving you the reason why. This response is from the credit card processor, not the application. You will need to direct questions about denied transactions to the cardholder or to the merchant account.
Note: If a transaction is declined. Do not keep trying to process the card. You are charged by the credit card processors for each transaction (approved or denied).
